Solutions Hill respects your privacy and is committed to handling personal information responsibly, transparently, and securely. This Privacy Policy explains what information we collect, how we use it, when we share it, how long we retain it, and the choices available to you when you use Solutions Hill websites, the AD-X platform, and related Solutions Hill services.

By using our services, you acknowledge the practices described in this policy. Where consent is required by law or by a third-party platform, we request that consent before accessing the relevant information.

1. Information We Collect

Account and profile information

When you create or use an account, we may collect information such as your name, email address, business name, business category, telephone number, account preferences, subscription status, and other information you choose to provide.

Business, prospect, audience, and campaign information

AD-X may process information that you create, upload, import, discover, organize, or manage through the platform, including contact records, prospect records, email lists, segmentation criteria, campaign content, workflow information, referral information, banner assets, sponsored campaign information, and other business-growth data.

Communications and support information

If you contact Solutions Hill for support, sales, billing, or other assistance, we may retain the information you provide and records of the communication as needed to respond, resolve issues, prevent abuse, and maintain appropriate business records.

Technical and usage information

We may collect information such as browser type, device type, IP address, pages visited, timestamps, error information, feature usage, authentication events, security logs, and other technical information reasonably necessary to operate, secure, troubleshoot, and improve our services.

2. Google Contacts and Other Contacts Integration

AD-X allows a user to connect a Google account and import email addresses from that user's Google Contacts and Google Other Contacts into the user's private AD-X contact or distribution-list environment. This feature is optional and is activated only after the user chooses to authorize Google access.

Google OAuth scopes requested by this feature:
  • https://www.googleapis.com/auth/contacts.readonly — permits read-only access to the user's Google Contacts.
  • https://www.googleapis.com/auth/contacts.other.readonly — permits read-only access to contact information Google has automatically saved in the user's "Other contacts."

AD-X uses these permissions only to retrieve contact information that the user has chosen to import. The integration is read-only: AD-X does not use these scopes to create, edit, or delete the user's Google Contacts or Other Contacts.

AD-X does not use this integration to read Gmail messages. The current Google Contacts integration does not request Gmail mailbox access and does not access Gmail message bodies, subject lines, attachments, or mailbox contents. Solutions Hill does not ask for or store a user's Google password; Google authorization is handled through Google's OAuth process.

Google Other Contacts may include contact information that Google automatically saved based on the user's prior interactions. AD-X receives only the data made available under the permissions the user approves and uses that information for the contact-import function described above.

3. How We Use Google User Data

Google user data obtained through the People API is used only to provide and support the user-requested contact-import and contact-management functionality. In particular:

Solutions Hill AD-X's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

4. User Control Over Google Data

A user may revoke Solutions Hill's Google authorization through the user's Google Account permissions. Revocation stops future access through that authorization. Revocation does not necessarily delete contact information that the user previously imported into AD-X. Previously imported information may be removed through available AD-X list/contact controls or by requesting deletion from Solutions Hill.

Users may request deletion of Google-derived information associated with their Solutions Hill account by contacting info@solutionshill.com. We may retain information when reasonably necessary to comply with law, resolve disputes, prevent fraud or abuse, enforce agreements, or maintain required business records.

5. AD-X Email Marketing and Audience Management

AD-X provides tools for contact management, audience lists, segmentation, email campaigns, marketing workflows, follow-up, prospect management, referrals, sponsored campaigns, mutual advertising, and related business-growth activities. Users are responsible for ensuring that their use of these tools complies with applicable laws, contractual obligations, consent requirements, suppression lists, and unsubscribe requirements.

Where AD-X provides unsubscribe, suppression, consent, or list-management controls, users must not attempt to bypass those controls. Solutions Hill may restrict or terminate use of features that are used for unlawful spam, deceptive communications, fraud, abuse, or other prohibited activity.

6. Prospect Finder and User-Provided Data

AD-X may provide prospect-discovery and list-management features that allow users to identify, organize, segment, save, or import business prospect information. Users may also upload or paste contact lists. Users are responsible for ensuring they have a lawful basis to collect, upload, store, and use information they provide to the platform.

Solutions Hill may process this information to provide the requested service, prevent duplicate records, support segmentation and list management, maintain suppression and compliance controls, and improve reliability of the platform.

7. Front Desk, Sales, SMS, Voice, and Calendar Features

Solutions Hill services may include customer-facing communication features such as AI-assisted reception, sales-agent workflows, email, SMS, voice, call handling, scheduling, calendar connectivity, and related automation. Depending on the feature used, we may process contact information, message content, call metadata, scheduling information, communication preferences, consent records, opt-out records, and related operational data required to deliver the service.

Users of these features are responsible for complying with applicable calling, texting, recording, telemarketing, consent, do-not-call, privacy, and consumer-protection laws. Solutions Hill may implement technical and administrative controls intended to support compliant use, but those controls do not replace a user's legal obligations.

8. Artificial Intelligence Features and Google User Data

Some Solutions Hill services may use artificial intelligence to assist with content generation, prospect research, workflow automation, customer interactions, summarization, or other platform functions. Solutions Hill currently uses OpenAI through the OpenAI API for certain separate AI-enabled features. Information intentionally submitted to an AI-enabled feature may be processed by Solutions Hill and the applicable AI service provider as necessary to provide the user-requested functionality, secure the service, and maintain functionality.

Google user data is isolated from AD-X AI workflows.

Google Contacts and Google Other Contacts data obtained through the Google People API is not transferred to OpenAI or to any other third-party artificial intelligence or machine-learning provider. The Google Contacts import feature stores and uses Google-derived contact information only for the user-facing contact-import, distribution-list, contact-management, and related user-requested functionality described in this Privacy Policy.

Solutions Hill does not use, transfer, or sell Google user data, including raw, aggregated, anonymized, de-identified, or derived Google user data, to create, train, fine-tune, or improve generalized or foundational artificial intelligence or machine-learning models.

Solutions Hill does not opt in to sharing Google user data with an AI provider for model training or model-improvement purposes.

AD-X's AI-enabled features are separate from the Google People API contact-import workflow. A user's authorization of Google Contacts or Google Other Contacts access does not authorize AD-X to submit that Google-derived data to an AI/ML provider.

Users should not submit information to AI-enabled features unless they are authorized to do so. AI-generated output may contain errors and should be reviewed before it is relied upon or sent to third parties.

9. Payments, Subscriptions, and Billing

If you purchase a paid Solutions Hill service, we may collect billing-related information such as your name, business information, billing status, transaction identifiers, plan information, and payment status. Payment transactions may be processed by third-party payment providers. Those providers process payment information under their own privacy and security practices.

Solutions Hill uses billing information to administer subscriptions, process payments and refunds where applicable, prevent fraud, provide support, and maintain accounting and transaction records.

10. Referral, Affiliate, Sponsored, and Mutual Advertising Programs

Solutions Hill may operate referral, affiliate, sponsored campaign, mutual advertising, or revenue-sharing programs. We may process referral identifiers, attribution information, campaign records, subscription status, transaction information, and payout-related records required to administer these programs.

Participation in these programs does not give another participant access to your Google-imported contact list. Google-imported contacts are not shared with a sponsor, referral partner, affiliate, advertiser, or other AD-X customer merely because the user participates in one of these programs.

11. How We Share Information

We may disclose information only as reasonably necessary for purposes such as the following:

12. Cookies, Local Storage, and Similar Technologies

Solutions Hill websites and applications may use cookies, browser local storage, session storage, and similar technologies to keep users signed in, preserve application state, remember preferences, support referral attribution, improve functionality, prevent abuse, and understand service usage. Browser settings may allow you to block or delete some of these technologies, although doing so may affect application functionality.

13. Data Retention

We retain personal information for as long as reasonably necessary to provide the service, maintain the user's account, support legitimate business and security needs, comply with legal obligations, resolve disputes, enforce agreements, and maintain required records. Retention periods may vary depending on the type of information and the purpose for which it is processed.

When information is no longer reasonably required, we may delete, anonymize, or securely dispose of it, subject to legal, security, backup, fraud-prevention, and recordkeeping requirements.

14. Security

Solutions Hill uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, loss, or misuse. These safeguards may include encrypted transmission, access controls, authentication controls, logging, infrastructure protections, and security monitoring.

No internet service or storage system can be guaranteed to be completely secure. Users are responsible for protecting their account credentials and promptly notifying Solutions Hill of suspected unauthorized access.

15. Your Privacy Choices and Rights

Depending on your location and applicable law, you may have rights to request that we:

We may need to verify your identity before fulfilling a request. Some information may be exempt from deletion or other requests when retention is required or permitted by law.

16. Account and Data Deletion Requests

Users may request deletion of their Solutions Hill account or personal information by emailing info@solutionshill.com. Please identify the account email address and the service involved. We may request reasonable verification before acting on the request.

Account deletion may not immediately remove information from security logs, legally required records, fraud-prevention records, transactional records, or backup systems where immediate deletion is not technically practicable or legally required.

17. Children's Privacy

AD-X and Solutions Hill's business-growth services are intended for businesses and adults and are not directed to children under 13. We do not knowingly collect personal information from children under 13 through AD-X. If you believe a child has provided personal information to AD-X, please contact us so that we can review and address the matter.

18. Third-Party Sites and Services

Solutions Hill services may contain links to, or integrations with, third-party websites and services. Those third parties operate under their own terms and privacy practices. This Privacy Policy does not govern independent third-party services except to the extent Solutions Hill processes information on their behalf or receives information through an integration as described in this policy.

19. International Processing

Solutions Hill and its service providers may process information in the United States or other jurisdictions where infrastructure or service providers operate. Where required, we take reasonable steps to handle personal information in accordance with applicable privacy requirements.

20. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our services, integrations, legal obligations, security practices, or business operations. The effective date at the top of this page will be updated when the policy changes. Material changes affecting Google user data will also be reflected in our product disclosures where appropriate.
